We accept your bookings under the following terms and conditions: These Terms and Conditions apply to all our services made available online and may change at any time. By accessing, browsing, and using our website, you acknowledge, agree with, have read, and understand the terms and conditions set out below. We therefore encourage you to read it carefully.

Our bookings require:

  • Bookings must be made 48 hours in advance.
  • No down payment.
  • No deposit.

Bookings are arrangements for specific journeys in the future with Trekking Planner Nepal. For a booking, we require that you book a trip by contacting us. By booking a trip through Trekking Planner Pvt. Ltd., you enter into a direct (legally binding) contractual relationship with us. Remember, a booking is definitely accepted as of the date the company sends a confirmation invoice or email to you. It is at this point that a contract between the company and the client comes into existence.

Last-minute booking.

Trekking Planner Nepal always believes in and specializes in small-group treks and tours. The sooner you book, the better it is going to be. We also offer private treks for your customized dates as well. Last-minute bookings are generally for those clients who missed out or could not confirm their bookings within a short period of time. We, as a trekking outfit, have made special booking provisions with regard to the Nepal trips. We can somehow accept your last-minute booking with the full amount (100%) if the payment is made within 24 hours before the start of your trip. Similarly, we always initiate and are willing to operate Nepal trips anytime, as per the situation's demands and priorities. However, last-minute bookings may not be acceptable in the case of the Bhutan or Tibet trips.

Trip postponement or transfer policy.

Sometimes the occurrence of situations is such that it is beyond our control, and we have to either postpone the trip or transfer the trip in favor of others. Under such circumstances, a written notice should be sent to us 30 days prior to the trip's departure date. A fee of 20% will be charged to postpone the Nepal trips if the trip is cancelled 48 hours earlier, and 50% of the total amount will be charged if you postpone the Tibet trips.

For transferring your booked slot, you can recommend any fit person within 30 days before you actually start your trekking journey. You have to drop us a line requesting the transfer; upon receipt, we will do the needful. The referred person slated to trek has to get all the mandatory documents duly signed for the trek completely.

However, you need to notify us of any changes to your travel plans at least 7 days before your scheduled departure. All payments can be made in any foreign currency that is accepted by the Nepali government. We accept the following:

  • Online payment.

If you choose to use your credit card for the payment, then do note that there will be a 4% bank commission charge for card processing fees.

Company cancellation policy.

We understand the fact that sometimes certain things can happen due to which the plan needs to be changed, and it's unavoidable. This can lead the client to cancel the pre-booked trip. In exceptional cases and unexpected series of events or circumstances, the cancellation policy differs. In the worst case, if conditions require cancellation of the trip, in such cases we provide a reimbursement of the advance payment as per the company’s policy. Our cancellation policy is quite flexible and better than that of other trek and tour operators.

If the client feels the need to cancel the trip, he or she has to submit an email stating an authentic reason(s). Upon receipt of the email, the refund procedure will be executed as mentioned below.

In the event of cancellation of any kind of pre-booked trip, please be informed that the 20% deposit will be deducted as a trip cancellation fee if the trip is cancelled 48 hours before the trip. It is applied as soon as you confirm your booking with us. Please be reminded that this 20% deposit is non-refundable when the trip is cancelled 48 hours prior.

If cancellation is made within a week (7 days) of departure or upon arrival in Kathmandu, we provide a full refund.

For cancellations made less than 48 hours prior to the departure date, 20% will be deducted from the total amount of the trip. (minus any transaction fees)

We don't provide any refunds to those clients who drop out of the journey voluntarily, regardless of the reason, after the commencement of the trip. There is no refund on the unused amount based on the itinerary. Similarly, no refunds are applicable for unutilized facilities such as accommodation, transport, sightseeing, meals, or services.
 
Note: In the case of refunds, we will process them immediately, though it might take 7 to 10 days for the process to go through the bank. Please be patient.

Reschedule the trip (to Nepal, India, and Bhutan).

You should provide us with written notice, including reasons that make you unable to travel, via email 20 days prior to the trip departure date. If you are postponing the trip, you should notify us in writing 20 days prior to your new departure date.

A fee of usd 200 per person will be charged if you postpone, prepone, or transfer your trip to another person no less than 20 days prior to the trip departure date. The client is responsible for finding another person to transfer his or her trip.

Reschedule the trip (to Tibet).

You should provide us with written notice, including reasons that make you unable to travel, via email 30 days prior to the trip departure date. If you are postponing the trip, you should notify us in writing 30 days prior to your new departure date.

A fee of 50 % per person will be charged if you postpone, prepone, or transfer your trip to another person no less than 30 days prior to the trip departure date. The client is responsible for finding another person to transfer his or her trip.

Incomplete Trip.

in case of any failure to complete the trip, for whatever reason, by the clients, we are not liable for any refunds for any meals, accommodation, or any services not used during the trip. if you commit any unlawful act during the trip and are compelled to leave nepal, we are not liable for any refunds.

Itinerary Alteration.

The itinerary is subject to change at the discretion of the tour leader for safety reasons. The tour leader may suggest an alternative itinerary and/or activities to those listed in the program for the group to choose from.

Where ferry timetables are applicable, the schedule may change due to weather conditions and/or last-minute changes from the ferry company.

Passports and visas.

All clients must possess a passport with at least 6 months validity from the return date. Along with a passport, you must obtain a Nepalese visa from a Nepalese embassy, consulate, or diplomatic agency in your country, in a neighboring country, or upon arrival at Kathmandu International Airport. Nepalese visa costs are incurred by clients.

All necessary documents (including visas, permits, insurances, etc.) must be presented to the corresponding authorities and to us prior to your tour.

Privacy.

The documents that you provide for the trip will be safely kept by Trekking Planner Pvt. Ltd. We will ask for some important and necessary documents from you for legal use and to fulfill government laws only. We assure you that we will not disclose any of your documents for any other purpose. Your privacy matters. Your documents will be safe with us.

Changes to your trip and price due to natural disasters, flight delays, etc.

In the event of cancellations or changes to the trip due to any unforeseen circumstances like natural disasters, flight delays, etc., we will arrange another trip for you at the same price. Also, you are free to reschedule the trip. While rescheduling the trip at either the same price or a higher price, you need to pay for the amount of used services from your previously booked trip. Similarly, if the price increases for the rescheduled departure, you will pay the difference between the new and old prices.

Most of our trip packages are based on twin-sharing accommodations. Furthermore, a single-room supplement charge will be imposed on clients who don’t have another tour participant to share accommodations with.

Likewise, we reserve the right to revise the pricing rates posted in our marketing material under any circumstances or under the pressure of various external factors like changes in exchange rates, government action, etc. that are beyond our control.

Medical conditions and special requirements.

Please notify us in writing about any current physical conditions at the time of booking. Include any medical condition and any other mentally and physically challenged condition that may affect your fitness and ability to travel. Failure to inform the company at the time of booking resulted in my inability to travel. Generally, failure to disclose such conditions at the time of booking gives the company the right to charge 100% cancellation fees to the client.

Additional considerations for your trip that could result in an inability to travel include, but are not limited to, age, mobility, pregnancy, and other physical or mental conditions that could inhibit your ability to travel. In such cases, we suggest you check the trip itinerary carefully and understand the risks and dangers of each trip prior to booking. We are more than happy to answer any questions or concerns you may have. We offer plenty of different trip types, and we would be happy to discuss your plans in order to find the perfect trip to suit your needs.

The company is not entitled to provide any special facilities unless they have been agreed to in writing prior to the trip. The company will always make the best effort to suit clients’ special requests, including dietary requests, but such requests do not form part of the contract, and therefore the company is not liable for not providing these requests. Medical facilities may differ from country to country; thus, the company makes no representations and provides no warranties in relation to the standard of such treatment.

Children.

A legal guardian must accompany all travelers under the age of sixteen. Please take note that no unaccompanied minors under 16 years of age are accepted. And in the case of minors, all personal gear accompanied by them is the sole responsibility of their respectable guardian.

Children's under 9 years would be applicable of 50 percent of cost and would be provided 50 percent discount while the children above 10 years would be applicable of the full cost.

Insurance.

Trekking Planner Pvt. Ltd. puts in a lot of effort to ensure the safety of all our clients. But we also strongly recommend our clients purchase a comprehensive travel and medical insurance package that covers incidents, natural calamities or disasters, helicopter evacuations, personal accidents, trip cancellations, etc. prior to the commencement of their tour. Do remember that personal travel insurance is not included in our tour price.

Risk and Liabilities.

Trekking Planner Pvt. Ltd. always strives to make each and every client’s experience unforgettable, pleasant, and problem-free. However, Trekking Planner Pvt. Ltd. will not be responsible for any unusual cases like accidents, damages, losses, delays, flight delays, cancellations, or any other natural disasters. Any additional cost incurred due to such events not under our control is the sole responsibility and charge of our clients. Trekking Planner Pvt. Ltd. reserves the right to modify any arrangements required by and made on behalf of clients.

Uncertainties and inherent circumstances can change the trip. Therefore, Trekking Planner Pvt. Ltd. shall not be responsible for any changes in the itinerary because of unavoidable circumstances like government restrictions, landslides, road blockages, political strikes, cancellation of flights, delays, sickness, or accidents. Additional costs incurred during this time should be borne by the clients themselves.

Publicity.

Trekking Planner Pvt. Ltd. uses the images taken by clients during the trip without prior notice, recourse, or compensation. These images have been used for publicity and promotion purposes through different mediums. You should agree upon this for permission; if you do not, please let us know.

Complaints and issues.

If you have any complaints while on a tour, please let your guide know so we can try to fix the problem immediately. Trekking Planner Pvt. Ltd. will always be in touch, even while on the tour or trek, so that we can solve your problem as soon as possible. And after every tour, you are free to comment on our services, both good and bad. We appreciate the feedback, and we always want to improve to serve you better.

Acceptance of Terms.

These terms and conditions are valid only if you book the trip with us directly. If you book our trip through a third party or any agents, you are liable to their terms and conditions as well as our terms and conditions.

Applicable law and choice of forum.

Trekking Planner Nepal's main office is located in Kathmandu, Nepal. These terms and conditions are governed by the laws of Nepal. Any dispute arising out of these terms and conditions shall be resolved exclusively by the District Court, Appellate Court, and Supreme Court located in Kathmandu, Nepal. There is no case in a foreign country, and the parties agree that the court of Nepal is the appropriate forum for any claim or proceeding commenced in relation to these terms and conditions.
